Full Service Meeting & Event Planning:

We serve as an extension of your department. This starts with an initial consultation that will detail your meeting & event needs so we understand overall goals & objectives, attendee demographics / expected learner outcomes, budgets, event history and key components that will assure success.  We offer the following services:

  •       Provide Meeting Management Consultation 
  •     Development detailed meeting management production schedule up to 60 months prior to convention
  •     Contract Negotiations: Hotels, security, audiovisual, decorator, entertainment,  official airline, official car rental
  •     Develop and monitor detailed meeting budgets
  •     Conduct national and international facility/site research 
  •     Conduct Site Inspections and produce detailed report of city, airport, convention center and hotels
  •     Provide On-Site Meeting Management with appropriate staffing ratios 
  •     Assist in establishing convention fees, policies, procedures and record keeping 
  •     Crisis Prevention: Develop Safety & Security policies, Crisis Management, Insurance, liquor liability and music license
  •     Arrange for message center and information desk 
  •     Supervise, motivate and train convention volunteers and oversee suppliers
  •     Coordinate speaker's fees, honorarium, expense reimbursements and biographies 
  •     Coordinate events with Destination Management Companies
  •     Manage all on-site logistics: room set ups, AV, Food & Beverage, golf tournament and off site events
  •     Interface with hotel contacts and provide "resume" of your meeting 
  •     Coordinate VIP special services (i.e. Meet & Greet and Turn Down Services)
  •     Conduct meeting evaluation, account review and budget reconciliation
  •     Prepare Group History Report and Recap Reports
